A WhatsApp lead agent, and the boring checks that make it safe to run

Most WhatsApp leads that arrive after 6pm get answered the next morning. By then a good share have already bought from whoever replied first. This is what we built for that gap, described as it works rather than as a brochure would put it.

What happens when a message arrives

The workflow first checks the message really came from Meta, by verifying the signature on the raw request. Duplicate deliveries, which WhatsApp sends more often than people expect, are answered once. The conversation is remembered, so the second message is read in the context of the first.

An AI step then reads the message and decides what it is: a price question, a booking, a complaint, or just hello. It answers in the customer's language. We tested Roman Urdu because half our region types that way.

What each kind of message triggers

  • A price question or a greeting gets an instant reply.
  • A booking request gets three real calendar slots, and a task lands in the CRM with a 15 minute deadline for a human to confirm.
  • A complaint stops the AI for that conversation, alerts the team and creates a callback task. The AI stays paused until a person takes over.
  • STOP means stop. The contact is tagged as opted out and nothing further is sent.

The 24 hour rule

WhatsApp only allows free text inside 24 hours of the customer's last message. Outside that window a business can only send an approved template. The follow up branch runs every hour, finds conversations that have gone quiet, and sends a free text nudge inside the window or the approved template outside it. Opted out and handed off conversations are skipped.

The checks we care about most

Before this goes anywhere near a real number it runs through 14 scripted scenarios on test data. A forged request gets a 401. A message delivered twice gets answered once. A 30 hour old conversation gets a template, not free text. A complaint never gets an AI reply. These are the boring parts, and they are the reason the system can be trusted with customers.
